Our Services Include:

  • Accounting-Maintain an operating bank account in the name of the Association for depositing Association fees and other receipts, review, approve, and pay invoices for common area expenses from the operating bank account, maintain a money market account for reserve funds, provide monthly accounting reports to the Board of Directors, provide access to the books and records including receipts and invoices for review by any Board member, officer, or Association member (upon reasonable request), and prepare monthly bank statement reconciliations.
  • Annual Meetings-Attend the annual meetings to discuss financial results for the year, answer any homeowner questions, and assist with the election and registration process.
  • Architectural Requests-Monitor and enforce architectural compliance requirements as outlined in the covenants and restrictions. Act as the liaison between homeowners and the Architectural Review Committee, including handling the administration of review requests submitted by homeowners.
  • Association Dues-Assist in establishing the Homeowner Association assessment required to fund operations and establishing any requirement relating to special assessments. Prepare and mail assessment statements to each Association member prior to the first of each billing period and send delinquent notices to members when required.
  • Budgeting-Assist in preparing the operating budget for each accounting fiscal year including planning for future reserve funding and capital expenses.
  • Collections– Coordinate filing of civil warrants and liens with counsel approved by the Board of Directors to pursue delinquent Association assessments.
  • Compliance-Conduct periodic inspections of the Association to monitor compliance with the Association’s Covenants, Conditions, and Restrictions and By-Laws. Noting any deficiencies, deferred maintenance, or other issues that need to be addressed by the Association.  Assist the Association in enforcing all rules and regulations set forth in the Covenants and other related documents.
  • Government Reporting Compliance-Prepare Federal Income tax returns, State Corporation Annual reports, and 1099’s at year-end.
  • Insurance-Assist in the preparation of insurance specifications for the Association’s property and liability coverage including securing insurance coverage proposals.
  • Communications-Address homeowner requests and concerns and distribute newsletters prepared by the Board of Directors.
  • Vendor Recommendations-Solicit and negotiate bids for groundskeeping, lighting, and other common area maintenance functions for the Board to review. Monitor the work of service contractors including procuring certificates of insurance from all contractors used.
